Privacy Policy
This English translation is provided for convenience. Only the German version is legally binding: German version
This policy explains which personal data we process on seotranslationpro.com, in the customer portal and when providing our translation services, for what purpose and on which legal basis.
1. Controller
Thilo Beier, SeoTranslationPro, Uerdinger Str. 630, 47800 Krefeld, Germany. Phone +49 178 8683167, email info@seotranslationpro.com.
2. Visiting the website and server logs
When you visit the website, our hosting provider processes technically necessary data: IP address, date and time, requested address, referrer, browser and operating system. This serves the operation and security of the website (Art. 6(1)(f) GDPR). The hosting provider processes the data on our behalf. The connection is encrypted with TLS.
3. Cookies, consent and analytics
We set technically necessary cookies without consent (Section 25(2) TDDDG, Art. 6(1)(f) GDPR), for example for signing in to the customer portal and for your cookie choice. We only use all other cookies and tools with your consent (Section 25(1) TDDDG, Art. 6(1)(a) GDPR), which you give via the cookie banner and can withdraw at any time. These include:
- Google Analytics and Google Tag Manager (Google Ireland Limited, Ireland) for audience measurement
- Microsoft Clarity (Microsoft Ireland Operations Limited, Ireland) for usage analysis
These providers may transfer data to the USA. The transfer is based on the adequacy decision for the EU-US Data Privacy Framework or on standard contractual clauses.
4. Contact
If you contact us by email, phone or form, we process your details to handle the request (Art. 6(1)(b) GDPR for contract-related requests, otherwise point (f)).
5. Customer portal
For the customer portal we process name, email address, company, roles of the users, shops and languages, orders, bookings of the character balance and sign-in logs. You sign in via a link sent by email. The legal basis is the performance of the contract (Art. 6(1)(b) GDPR). You can switch off email notifications (e.g. finished orders, payments) in the portal unless they are required for the contract.
6. Translation of your content
For the translation we read the ordered content from your shop or website, process it on our servers and write the translations back. We store shop credentials securely and use them only for this purpose. If the content contains personal data, we process it on your behalf (Art. 28 GDPR, agreement on request).
For the translation we send the texts to providers of AI language models that process them on our behalf:
- Anthropic (Anthropic PBC, USA / Anthropic Ireland, Limited)
- OpenAI (OpenAI, L.L.C., USA / OpenAI Ireland Limited)
Under their terms for business API use, the data is not used to train the models. The transfer to the USA is based on the EU-US Data Privacy Framework or on standard contractual clauses.
7. Payment via Stripe
Payments are processed by Stripe Payments Europe, Ltd., 1 Grand Canal Street Lower, Grand Canal Dock, Dublin, D02 H210, Ireland. For this, Stripe processes name, company, email address, billing address, VAT identification number, payment data (card number or IBAN) and payment details. Card number and IBAN are held by Stripe only; we only receive the type, brand and last four digits. Stripe also calculates VAT and validates VAT identification numbers with the competent bodies (e.g. VIES of the European Commission).
The legal bases are the performance of the contract (Art. 6(1)(b) GDPR) and our obligations under tax and commercial law (Art. 6(1)(c) GDPR). Stripe is itself responsible for fraud prevention and its own legal obligations. Stripe may transfer data to Stripe, Inc. in the USA; the transfer is based on the EU-US Data Privacy Framework or on standard contractual clauses. More: stripe.com/privacy.
8. Emails
We send emails that are necessary for the contract: sign-in links and notices about orders and payments. Invoices and receipts are sent by Stripe on our behalf. We only send advertising emails with your consent.
9. Retention
We delete data as soon as the purpose no longer applies. We keep customer account data until the account is closed. We retain invoices and accounting records for eight years and business letters for six years (Section 147 German Fiscal Code, Section 257 German Commercial Code, Section 14b German VAT Act). The hosting provider deletes server logs after a short period.
10. Your rights
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21). You can withdraw consent at any time with effect for the future (Art. 7(3)). Please write to info@seotranslationpro.com.
You can lodge a complaint with a data protection supervisory authority, for example the authority responsible for us, the State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia.
11. Changes
We adapt this privacy policy when our services or the law change. The version published here applies.
